A pastel green vase with roses and small flowers sits on a teal table next to a teacup with wrapped candies and a floral sign that reads Lets Par-Tea in an outdoor garden setting.

I absolutely love having lots of party pics to look back on after a special celebration. The problem is that when you’re hosting a party, it can sometimes be hard to enjoy the moment and capture all of the photos at the same time. Hiring a professional photographer for every event can get pricey, so I decided to create a simple and beautiful DIY Party Photo QR Code sign that allows guests to upload all of their photos and videos into one folder to enjoy later.

A white vase with colorful flowers sits on a woven tablecloth outdoors. Next to it are a vintage teacup, a small card with floral designs, and a candle holder, all under dappled sunlight with greenery in the background.

This easy project was perfect for my mom’s tea party birthday celebration, but these qr code signs are also wonderful for weddings, rehearsal dinners, baby showers, bridal showers, destination wedding weekends, family holidays, graduation parties, and so many other gatherings. Guests can upload wedding photos, candid shots, special moments, guestbook messages, and even video messages for a truly meaningful keepsake.

Today, I’m sharing all of the details about how I created this easy and elegant tea party photo share sign using a few simple steps. This is one of the easiest ways to create a stunning digital album full of wedding memories, event photo uploads, and high quality photos from your big day.

Why You’ll Love These DIY Party Photo QR Code Signs

These QR code displays are one of the best ways to gather wedding pictures, candid shots, and uploaded images from your guests in one convenient place. Instead of asking everyone to text photos individually or post on social media, guests can simply do a simple scan with their phone camera and instantly upload their own photos into a private gallery or shared album.

This is also a great idea for wedding planners, rehearsal dinners, birthday parties, and even digital guestbooks. You can collect voice recordings, video guestbook clips, voice messages, and fun behind the scenes moments all in one private digital album.

One of my favorite cool features is that there is no app download required. Guests simply open the QR code in their web browser and upload photos directly from their camera roll. It is such an easy way to preserve happy tears, wedding day moments, and all of the best photos from your event.

Step by Step Instructions

Step 1: Create a Folder in a Cloud Storage System

The first thing you’ll need to do is create a folder using a cloud storage system such as Google Drive or Dropbox. This folder will act as your shared album or wedding gallery where guests can upload wedding photos, candid shots, and even video guestbook clips.

For Google Drive:
Create a new folder in Google Drive and update the privacy settings to allow anyone with the shareable link to upload content.

For Dropbox:
Use the File Request feature to create a dedicated solution for uploaded images. Dropbox File Requests allow guests to upload files without needing a Dropbox account, which creates the best experience for guests.

This is a wonderful customization option because you can create separate folders for wedding memories, rehearsal dinners, or even a DIY photo booth.

Step 2: Create a Free QR Code with a Link to the Folder

Once your folder is ready, copy the shareable link.

Next, visit QR Tiger and paste the link into the QR code generator. QR Tiger allows you to create a unique qr code or custom qr code completely free.

You can even customize the color and style to match your wedding qr code signs or party décor. Download the QR code as a PNG image for the best quality.

Step 3: Add the QR Code to the Free Printable

Open Canva or Photoshop and design your qr code sign.

I created a soft floral sign for my tea party that said:

“Let’s Par Tea and Share the Memories”

You can also include directions like:
“Scan to upload your photos and videos”

Upload your custom qr code into Canva and position it onto your design. Canva makes this process incredibly simple and is one of the easiest ways to create beautiful qr code displays.

Step 4: Print the Free Printable on Cardstock or Paper

Once your design is complete, print the free printable onto cardstock or heavy paper for a more polished look.

Cardstock works beautifully inside frames and helps the sign stand upright on tablescapes or party décor.

Step 5: Cut Out the Printable and Add to Frame

Carefully cut out your printable using scissors or a paper cutter and place it into a frame.

Vintage frames, gold frames, or soft neutral frames all work beautifully for weddings, bridal showers, or elegant parties.

Step 6: Add to Tablescape or Décor

Place your framed QR code signs throughout your event space.

I recommend adding one near:
The guestbook

The drink station

The dessert table

Centerpieces

The DIY photo booth area

This helps remind guests to upload their wedding pictures and event photos throughout the celebration.

Step 7: Scan QR Code and Add Photos to Enjoy

Before your party begins, test the QR code with your own phone camera to make sure everything works properly.

Guests can simply scan the code, upload their photos, and contribute to a stunning digital album full of special moments from your big day.

This is such a personal touch and an easy way to collect high quality photos from multiple perspectives without hiring a professional photographer for every moment.
